Senior Payroll Specialist

About The Position

Trax Retail is looking for an experienced HR, payroll and benefits professional to be responsible for advising and administering employee benefits, leave of absences and payroll for the Americas region. As an integral part of our HR team reporting to the Global HRBP, you will draw upon your knowledge and experience to advise us on payroll and benefit matters and lead process improvements for a growing high-tech company committed to quality and continuous improvement.

-Manage multi-state payroll, including garnishments, benefits and taxes consistent with company policies and federal and state wage and hour laws for 400+ employees. 

-Monitor and maintain compliance with company pay practices, state and federal laws 

-Develop, maintain, and monitor all controls, procedures and standards to ensure the accuracy and timeliness of payroll processing for Americas region  

-Ensures compliance with policies and procedures and all regulatory payroll requirements and federal and state laws 

-Process employee new hire, transfer, promotion, and termination information 

-Process paid and unpaid leaves of absence, wage adjustments, classification changes, and deduction modifications 

-Compile statistical reports, statements, and summaries related to payroll 

-Ability to verbally and professionally and effectively with employees to resolve any pay discrepancies or other payroll/benefits issues as needed 

-Other job duties as assigned to meet the business needs. 



-Maintain all third-party data and update enrollment and terminations as needed with all employee benefit program vendors. 

-Compiles all governmental regulatory mandates and ensure filings are performed as required such as the annual FSA compliance testing. 

-Manages the open enrollment process, including helping set up the EDI feeds between the Payroll vendor and benefits vendors. 

-Monitors ACA compliance and eligibility in the payroll system and flag any changes or updates  

-Plans, conducts and reports results of audits to ensure all enrollments are accurate and that dependent information is correct for each employee. 

-Maintains workers compensation data and file feed between payroll vendor and Workers Compensation vendor. 

-Audits monthly benefits invoices, including medical, dental, vision, Long Term Disability, Short Term Disability, Life, and supplementary benefits. 


  • 3 years of experience processing multi-state payroll. 
  • Strong background administering FMLA, Leave of Absence, Health & Welfare, EAP COBRA, 401(k), and Workers compensation plans. 
  • Strong knowledge and understanding of all benefit programs (e.g., Life, Disability, medical, dental, vision, FSA, HSA, 401(k), and Voluntary benefits). 
  • Advanced knowledge of employee benefits and payroll systems. 
  • Sufficient analytical experience to review administrators' reports and complete monthly benefit remittances. 
  • Excellent written and verbal communication skills. 
  • Ability to utilize problem-solving techniques. 
  • Ability to coordinate several tasks at one time. 
  • Able to work with minimal direct supervision and exercise initiative. 
  • Exceptional attention to detail and organizational skills is a must. 
  • Strong interpersonal skills and the ability to work effectively with a diverse population. 


-Bachelor’s degree in Human Resources or a related area.  


-Good working knowledge of Paylocity, PayChex and Hibob 

-Knowledge of administering payroll and benefits in Canada, Brazil and Mexico  

-Certified Payroll Professional (CPP) or FPC Certification
